As Management Assistant, you will work closely with the Managing Director of Abacus Medicine Netherlands, as well as the local leadership team in Alkmaar — a group of eight leaders representing key functions such as Operations, Business Development, Quality Assurance, People & Culture, and Facilities.
You will also collaborate with important internal stakeholders, including the Global Communications team, and engage with external partners such as vendors, event organizers, suppliers, and visiting customers.

You will play a vital role in supporting the local leadership team by ensuring the smooth and efficient execution of daily operations. Acting as a central coordination point, you’ll facilitate internal collaboration, streamline administrative tasks, and help keep the team aligned and informed. Your strong organizational skills and proactive mindset will be key to driving operational effectiveness.
Your main responsibilities include:
- Manage calendars, coordinate meetings, arrange travel logistics for management
- Prepare, edit, and distribute reports, briefings, meeting minutes, and presentations, while tracking deadlines and conduct following up on action from leadership meetings
- Maintain administrative filing systems, ensuring accurate documentation
- Support budget tracking and processing of invoices and handle reimbursements
- Coordinate internal events and staff activities e.g., town halls, training sessions, awareness campaigns
- Manage communications on local digital platforms and apply best practices from the global communications team
- Maintain professional relationships with internal and external stakeholders, including senior leaders and partners
- Support with formatting, proofreading, and preparing internal documents and reports, ensuring consistency and readiness for audits, certifications and quality initiatives
- Assist Business Development and People & Culture with marketing initiatives such as employer branding, social media, and industry events
Fuel for your success in the role
We imagine you have:
- 1-2 years of work experience in a similar administrative or assistant role
- Excellent written and verbal communication skills in English and Dutch
- Skilled in stakeholder management, with the ability to build and maintain trusted relationships at all organizational levels
- Strong organizing and time management skills, with the ability to handle multiple tasks and meet deadlines efficiently
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, teams and Share Point)
- Ability to handle calendar management, travel arrangements, meeting coordination, and document preparation with high level of accuracy and attention to detail
- Structured approach on handling administrative tasks, such as contract and invoice handling, documentation archiving ect.
- Comfortable working in a fast-paced, high-responsibility environment where priorities can shift quickly
- Minimum a MBO (Middelbaar Beroepsonderwijs) degree or equivalent education
